Executive Administrative Assistant III - Human Resources

 

We have a fantastic opportunity to join our dynamic Human Resources team as the Executive Administrative Assistant to our Chief Human Resources Officer (CHRO).  In this role, you will partner closely with our CHRO to ensure that their office is efficient, moves at the speed of the business, and is responsive to our associates, leadership team, and external partners. Primary duties may include, but are not limited to:
 

Calendar Management: 

  • Manage day-to-day complex schedules in such a way that the executive is able to complete their obligations and action their priorities in an organized, efficient way
  • Take into consideration calendar priorities based on both professional and personal priorities
  • Coordinate internal and external meetings including but not limited to team meetings, off-site meetings, one-on-one meetings, conferences, town halls, etc. 
  • Book appropriate travel within travel policy taking into account costs, schedules, travel time and personal time between meetings
  • Manage the team meeting calendar, understanding potential conflicts with enterprise activities

Executive Engagement: 

  • Proactively coordinate all executive engagement, correspondence and interactions 
  • Manage follow up on all executive meetings 
  • May act as a Meeting Recorder-summarizing action items precisely.
  • Partner with peers and direct reports of the executive to manage cross-functional initiatives from conception to completion
  • Partner with the other department Executive Assistants to ensure clear communication and alignment between the CEO and all of our senior leadership 

Business Administration:

  • Create, maintain, and edit presentations, documents, and spreadsheets for meetings
  • Submit accurate expense reports in a timely manner adhering to policy. 
  • Assist in expense management for team and for events 
  • Assist in overseeing budget and procurement activities
  • Conducts more complex research to assist executive with inquiries or issues.
  • Coordinate all logistics for department events and meetings
  • Responsible for securing requested information and compiling various reports and analyses.
Additional Responsibilities:
  • Performs advanced, diversified and confidential administrative duties requiring broad and comprehensive skill and knowledge of organization policies and procedures
  • Conducts more complex research to assist executive with inquiries or issues
  • May assist with training of staff
  • Other administrative duties as requested

 
 
Your Building Blocks of Success
  • Requires GED/HS diploma
  • 10 years of experience; or any combination or education and experience which will provide an equivalent background.
  • Requires 6+ years experience providing direct support to senior executives.
  • Proficient in Microsoft Office Suite with advanced experience in Microsoft Outlook, to include maintaining full calendar responsibilities of the executive.
  • Must be technically savvy with ability to learn new software programs, HR technology and manage the audio/video technology for virtual meetings.
  • Experience in a Human Resources department is a plus
  • Reputation for anticipating needs, initiating ideas, and providing solutions - not just delivering on what is requested. 
  • Demonstrated proactive, strong analytical and problem-solving skills; high attention to detail and organization 
  • Expertise in handling sensitive and confidential information requiring a high level of discretion.
  • Self-starter attitude while working on multiple assignments in a fast-paced environment 
  • Exceptional communication skills with diverse personalities

We train our leaders to make more informed and effective decisions by mitigating unconscious bias. There’s extensive research about the impact of unintended bias in decisions that affect people in the workplace so in 2017 we launched “Decide: The Neuroscience of Breaking Bias,” an eLearning experience that helps leaders identify, label and take action to minimize bias in order to build effective and inclusive teams.

Year-round, Anthem associates give generously to health-related nonprofit organizations across the country through our Associate Giving Program, which offers a 50 percent match from the Anthem Foundation.

The Dollars for Doers program encourages year-round associate volunteerism—and helps associates’ commitment go even further by providing grants to eligible organizations where the volunteer service is completed. In 2017, our associates logged over 55,000 hours! To make it even easier to volunteer, associates can have up to eight hours of paid volunteer time off each year to be used to volunteer at qualified charities of their choice.

The Volunteer Recognition Program invites Anthem associates to share their volunteer stories or nominate their colleagues who volunteer in the community. Each quarter associates nominate and vote for a winner who exemplifies our value of Caring for Our Communities. The winner chooses an eligible charity to receive a special grant from the Anthem Foundation.
